Shift Manager: Admin Assistant Clara Corp Office Staff


This is a Full-time position in Wheat Ridge, CO posted April 12, 2021.

*This position is located at 4855 Ward Road Wheat Ridge, Co 80033

Role Overview:

The Administrative Assistant supports the efficient operation of Clara Corporation back office and aids the Office Manager, by completing general office duties and clerical tasks.

This position is the primary point-of-contact for incoming visitors and phone calls to the office.

As such, the availability required for this position is Monday thru Friday, 8:00 am to 5:00 pm.

General tasks may include, but are not limited to, the following:

  • Sends and receives mail and shipments.
  • Carries out clerical duties such as filing, typing, copying, scanning, organizing, etc.
  • Models polite and effective communication in person and via phone, email, text, mail, and messenger.
  • Maintains supplies and inventories.
  • Routes requests from employees, Staff or restaurant managers.
  • Coordinates with third-party vendors for office-related service and repairs.
  • Places orders and makes arrangements for senior Staff such as meeting registrations, travel arrangements, and other reservations.
  • Carries out light cleaning, organization and light maintenance tasks such as taking out trash, wiping down surfaces, emptying receptacles, etc.
  • Contributes to a team environment by accomplishing related tasks as needed.

Primary Duties and Responsibilities:

1) General office duties

  • Acts as the primary point-of-contact at the front desk–supports visitors and answers phones.

    Checks voice mail daily.

  • Assists with customer complaints and correspondents as needed.

    Maintains tracking of customer complaints.

  • Completes mailing, shipping, and receiving.

2) Personnel

  • Assist with new

    – orientation and onboarding.

  • Orders and maintains inventory of uniforms and supplies.
  • Assists staff with clerical duties as needed.
  • Assists with business compliance reporting, at the direction of the office manager.
  • Assists with processing of insurance claims.

3) Document Processing

  • Creates forms, templates, and tracking ledgers for use within the organization.
  • Process projects for the organization ( business meetings, presentations, etc.).
  • Assists in drafting and printing LSM and other printed materials for the restaurants.

4) Reporting and Accounting

  • Assists with bill-pay ( invoice) processing and provides requested information to CPA.
  • Completes data entry as needed.
  • Assists with tasks related to sales reporting, tracking and balancing.
  • Balances and tracks expenses at the direction of the office manager.

5) Payroll

  • Completes data entry and maintains up-to-date personnel records.
  • Assists in setting up and processing pay-cards.

6) Miscellaneous

  • Maintains stock of office, kitchen and stock room supplies.
  • Creates files and executes general clerical duties.
  • Completes light cleaning, organization and maintenance tasks around the office.

General Skill Requirements

  • Availability to work Monday

    – Friday.

    8 AM to 5 PM.

  • Is proficient with email and office technology (windows, Microsoft office, zoom, client portals, online purchasing, login credentials, etc).
  • Comfortable communicating electronically using email, text, messenger, etc.
  • Demonstrates strong problem

    – skills.

  • Demonstrates professionalism and respectful communication.
  • Possess strong communication skills ( written and verbal) that enable effective communication of complex or difficult issues.
  • Demonstrates time-management and organization skills to deliver excellent and timely work product.
  • Is able to self

    – manage job responsibilities and work independently, or collaboratively, as needed.

Pay and Benefits:

( per the Clara Corporation Total Compensation Plan)

  • DM3 Level Pay Scale: $18.50

    – $24.00/hr

  • DM3 Level Benefits, excluding allowable 5 hours of overtime per week.
  • Full

    – time, 35-40 hour work week.

  • Mileage reimbursement (as needed) and phone usage stipend.
