CRM Administrator (Hubspot) Job Description The CRM Administrator has primary responsibility for the administration, operational health, and support of the Marketing Automation and Customer Relationship Management (CRM) system at Apstra.

This role is the technical lead for all things Marketing Automation and CRM, takes data quality extremely seriously, and will be the trusted partner for the Sales, Marketing, Support, and Finance teams.

The candidate should be an advocate for the CRM within Apstra and help us to increase its reliability, and appropriately expand its use.

Develop a technical strategy for reliability, availability, business continuity, disaster recovery, and security enforcement.

Work with security and compliance team on ensuring a stable, fault-tolerant, and highly secure platform for critical business data.

Establish/refine policies, processes, and procedures related to maintenance, update, upgrade, integration, and development of the CRM application and environment.

Collaborate with other departments to architect and implement high-quality technical integrations with other Business Applications (such as quoting, subscription management, support, marketing tools, FDW, etc.) Oversee relationships with related vendors and hosting providers, enforcing support expectations, reviewing the results of security audits, and implementing recommendations for improvement.

The successful candidate will be detail-oriented, passionate about supporting successful business outcomes and have to experience developing CRM techniques to execute marketing and sales strategies.

This position reports directly to the Head of Operations & IT Location: Austin, TX or Menlo Park, CA Primary Duties Operational and strategic proficiency with HubSpot is a must.

You’ll monitor, measure and analyze the effectiveness of sales and marketing initiatives as they relate to quota and company goals, including the accurate analysis of customer acquisition, bookings, recurring revenue, customer satisfaction and more.

Implement best practices for marketing automation for our high-tech enterprise software sales environment.

Manage daily technical IT operations related to CRM system support.

Work with the cloud CRM vendor to plan for and arrange CRM changes, upgrades, data migration, or downtime as necessary and proactively communicate them within our organization.

Serve as the lead technical role in user creation, system integration, enforcing appropriate access credentials, and drive break/fix issues to a timely and successful resolution.

Work with data appending vendors and make recommendations for additional tooling to add for accelerating engagement, account identification, pipeline acceleration, ABM, multi-touch attribution, etc.

Create and maintain internal documentation and records related to the CRM system.

Educate the organization on the capabilities of Hubspot.

Maintain singular focus on data cleanliness and integrity.

Establish the CRM as a single source of truth for customer data, which can be reliably used by business applications across the company.

Oversee the correctness of marketing and sales data, and propose steps to improve them.

Maintain the confidentiality, integrity, and security of the CRM system and all data within it.

Create and maintain metrics reports and dashboards on marketing and sales activities for measuring their effectiveness and business impact.

Collaborate with our BDR and SDR (inside sales) teams, building views and reports to help them see their most valuable leads and be as efficient as possible.

Liaise with both technical and functional staff to plan, deploy, and support new CRM functions and related tools, systems, and campaigns.

Support inbound Marketing efforts by implementing requested configuration changes, and by monitoring, measuring, and analyzing the effectiveness of marketing initiatives.

Assist the Marketing team in establishing KPIs and creating dashboards to visualize data around campaigns and initiatives.

Support Sales Operations by monitoring, measuring and analyzing the effectiveness of sales teams, creating reports to organize data by territory, team, and person, and present data related to sales accomplishments.

Support the Finance team by creating financial reports, dashboards, and projections that measure the outcomes of sales, bookings, and revenue, along with SaaS subscription metrics.

Serve as technical lead on subscription management, quoting, and other tool integrations with the CRM.

Evaluate new technologies and add-on applications to improve and optimize marketing team performance.

Oversee relationships with vendors, be the primary technical point of contact, enforce SLA, support expectations, and information security requirements.

Respond to inquiries and requests from users for technical CRM-related assistance, and manage/escalate support process with the appropriate vendor as needed.

Required Skills and Qualifications Bachelor’s Degree in Information Systems, Computer Science, Business Analytics, or related field.

Excellent troubleshooting techniques related to software and IT systems, including the ability to demonstrate effective and timely problem-solving skills.

3+ years of experience administering Hubspot within a technology company.

Excellent interpersonal, verbal and written communication, presentation, and collaboration skills.

Strongly collegial, professional, positive, and effective in working with others at all levels.

Ability to exercise independent judgment to apply facts and principles for developing approaches and techniques to problem resolution.

Ability to interpret and follow instructions.

Above-average collaboration skills and proven track record of executing successful cross-functional projects.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness, bias towards action, and creativity required in situations involving the direction, control, and planning of a project or deliverable.

Experience managing system or software changes, including researching, planning with the rest of the IT team, testing, evaluating, and communicating with users about changes to tools or new functionality.

Enthusiastic, passionate, and creative; thrives on thinking outside of the box to create new best-in-class solutions utilizing Hubspot Preferred Skills and Qualifications Preferred Skills and Qualifications Master’s Degree in Information Systems, Computer Science, Business Analytics, or related field.

Demonstrated experience leading a large scale implementation, migration, or deployment of an enterprise-wide CRM system.

Experience working in a fast-paced, quickly growing technology startup.

Hands-on experience/certification as Salesforce Administrator.

Experienced in data visualization, turning complex information into compelling presentations.

Strong business strategy and analytics skills, with an advanced understanding of success metrics.

2+ years of work experience in digital marketing or sales operations, including hands-on experience with associated tools.

Financial analysis and modeling skills to justify business cases through ROI analysis.
