Facilities operations manager

Job Description The Manager of Facility Operations manages facilities staff and third party service providers who are responsible for ongoing, day-to-day management of the facility.

Overseeing budget planning for assigned portfolio including providing various reports summarizing the financial, operating and capital expenditure activity related to each property; Selecting vendors and secure bids on approved, operating and capital budget items that pertain to maintenance, engineering and tenant services; Ensuring completion of maintenance work in accordance with established standards and in compliance with safety regulations and building codes; Reviewing and approving maintenance, engineering and utility invoices for cost, allocation, account coding, amount and completion and construction work performed by contractors; Participating in the acquisition/due diligence process of properties located in the region and in target markets; conducting site inspections to assess the physical condition of buildings and systems; Job Tasks: Moving of furniture and equipment Handling of daily facilities work request received by phone or email Prioritize facilities work requests Mail room operations such the collecting and distribution of inter office mail, and the operation of mailroom equipment Daily inspection of facilities and grounds for repairs and maintenance needs Replacement of light bulbs, painting, light maintenance work in areas of breaks and repairs Responsible for leading moves, adds, & changes) supporting both operational and project-based moves.

Develop project development process at all phases: inception (scope, budget and schedule development), design, bid and negotiation, construction (budget and scheduled status).

Develop process, policies and procedures for scope, budget, schedule review, and approvals.

Review all vendor pricing to ensure adherence to standard bid process.

Track all project budgets and schedules to ensure that all are meeting goals and milestones.

Analyze needs, develops and recommends alternatives for process improvements and services.

Reviews departmental operational procedures and processes and implements changes as required streamlining operations, and improving productivity.

Understanding of concepts and practical experience with planning, scheduling, project management, preventive maintenance, and reliability-centered maintenance philosophy.

Able to partner with senior leaders to support business initiatives and strategic goals.
