Office manager/project coordinator

This is a Full-time position in Los Angeles, CA posted November 8, 2019.

Primary resource within Vallarta’s Asset Protection and Security for the development and management of departmental policies and proceses, SOP’s, job descriptions, training manuals, methods documentation, job aids, and manage staff for optimum performance. General and : Project manager, responsible for the development, updating, efficient completion of projects, updating managers, and executives, conducting research and analysis, delivering projects, etc.Develop, implement, and manage asset protection/security policies and processes for VallartaPrepare and write training materials, manuals, brochures, and other technical literature related to departmental objectives and initiatives including production from the Asset Protection/Security TeamOversee the preparation of illustrations, photographs, diagrams, and charts that will be used within the documentation processDevelop quality control for corporate, warehouse and store level processes and standard materials and associated documentationWill manage office staff and all related programsDevelop and coach team to enhance their skills and knowledgeEstablish a culture of accountability through clear expectations and performance managementAnticipate staffing needs, talent plan and recruit – both long and short termSupport the onboarding and development of AP and Security Team LeadersBuild a close partnership with Store Directors, Supervisors and ExecutivesCommunicates with the Vice President, Director of Asset Protection and Security and Director or Function Managers to address AP & Security trends at stores and protect, properties, and warehouse, and corporate locationsPrepare reports, presentations, and data, as well as maintain files, records, and correspondence for meetingsProvides historical reference by creating, developing and utilizing systems for filing and retrieval; recording discussions for meetingsCoordinates the planning and projects programs, and SOP’sManages and administers the Crisis Notification, including training team members : 
· High confidentiality; must collaborate effectively with managers, as well as HR, Asset Protection/Security, IT, Legal, Operations and Executives
· Experience in creating and developing strategic policies and providing outcomes
· Experience managing a safe and secure culture, including crisis response, a strong safety environment and crowd management planning, providing support to both guests and team members
· Skills in interviewing, selecting, and talent management of hourly team members
· Writing/communication style to target corporate and store level team members
· Strong written and verbal communication skills
· Bilingual Spanish (fluent: read, write, and speak)
· Excellent people skills and able to influence others
· Previous success in office management
· Consciously develop a culture of work that is compatible with Vallarta’s core values
· Strong organizational skills
· Advanced computer skills in Microsoft Word, Excel, Power Point and Outlook
· Type minimum 45 WPM
· Commute with stores, and corporate as needed, to develop written policies and procedures
· Flexibility in schedule to work extended hours, including some Saturdays, to complete the job Required Education and Experience:
· Bachelor’s degree, or equivalent experience
· Two plus years retail management experience
· Ability to write reports, business correspondence, and procedure manuals
· Bilingual Spanish (fluent: read, write, and speak)
· Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public Type/Expected Hours of Work
· This is an exempt level position
· Commute to stores, as needed, to develop written policies and procedures
